Privacy Policy
How data about citizens, crews, vehicles and bins is collected, used and protected across the platform, the crew app and the Citizen App.
01Who this policy covers
This policy applies to three groups: customers (municipalities, waste contractors and societies that subscribe), their staff and crews who use the crew and supervisor apps, and citizens who use the Citizen App, SMS or WhatsApp channels to report problems.
02Customer data belongs to the customer
Operational records such as routes, bins, trips, attendance, complaints and reports belong to the subscribing organization. We process them on that organization's behalf and only to provide the service.
Customers can export their data at any time as spreadsheets or through the API, and can request deletion when their subscription ends.
03Citizen information
When a citizen reports a problem we collect what is needed to resolve it:
- Name and mobile number, for updates on the complaint
- Location of the problem and the photos submitted
- Complaint history and confirmation or reopening of fixes
Citizen details are used only to resolve their complaints and to notify them about pickups in their area if they opt in. They are never sold or shared with advertisers. Supervisors see the details needed to resolve a complaint, not a citizen's full history.
04Crew and staff information
Crew apps record attendance check-ins (including a selfie), shift assignments, stop completions with timestamps and photos, and device location.
Crew location is tracked only during duty hours, for routing, proof of collection and crew safety. Tracking stops when a shift is closed. Location history is not used for any purpose outside the customer's operations.
05Vehicle and sensor data
Vehicle GPS positions, trips, fuel entries and bin sensor readings are treated as customer operational data. Sensor fill levels are estimates and are shown alongside crew reports so supervisors can make the final decision on routes.
06Website forms
When you sign up or contact us through this website, we receive the details you enter, such as your name, work email, organization, area and fleet size. We use them to create your account, send login details and reply to you. A short-lived session cookie is used for the anti-spam check on forms.
07Storage and security
Data is encrypted in transit and at rest. Access inside customer accounts is role-based, so a ward supervisor sees their ward, a contractor sees their contracted area and city administrators see everything they are responsible for.
Every change to operational records is logged with the user and time, which supports audits and dispute resolution.
08Retention
Operational data is kept for the length of the subscription and any retention period required by the customer's contract or applicable law. Citizen contact details attached to resolved complaints are masked after 12 months unless the customer's policy requires otherwise.
09Your choices
Citizens can ask the customer organization that runs their city's service, or write to us through the contact page, to see, correct or delete their details. Crew members can request their attendance and location records through their employer.
You can opt out of non-essential notifications in the Citizen App at any time.
10Changes to this policy
If we change how personal data is handled in a material way, customers are informed in advance through their account, and the updated policy is published on this page.
